Less to keep track of. More time for the meeting.

Invitations, replies and guests should not take more work than the meeting itself. Bring everything together in Samli and schedule reminders, leaving more time to prepare a good meeting.

Illustrative example with fictional data. A member accepts the meeting invitation in the app. Their reply is then shown in the organiser’s participant overview on the web. The sequence explains the workflow; it does not demonstrate measured synchronisation speed.

Invitations, replies and reminders together

Illustrative example with fictional data: the participant list switches from members who have accepted to members who have yet to reply.

See the replies before you meet

Planning is harder when replies are scattered. View member responses and the participant list alongside the meeting in Samli, so your team can see who has accepted and who has yet to reply.

Illustrative example with fictional data: the guest overview shows an external guest with the person who invited them, and a member from another group.

Keep guests in the picture

Guests do not need a separate list. Add external guests or invite members from other groups to the meeting, so you can include them in your preparations.

An email invitation to a meeting guest.

Guests get the invitation by email

External guests don't need a Samli profile. They get the invitation by email with your logo and colours, the name of the person inviting them, the time and the meeting description. A calendar file is attached so the guest can add the meeting to their calendar. If the meeting is cancelled, the guest is told by email too.

Illustrative example with fictional data: a scheduled invitation, reminders for unanswered invitations, a response deadline and reminders before the meeting. The dates are examples, not a fixed messaging schedule.

Schedule reminders instead of remembering them

Sending invitations and remembering who has yet to reply takes time. Schedule invitations and reminders in Samli and review them alongside the meeting. That leaves less to keep track of each time.

One meeting workflow for different ways of meeting

Some meetings belong within a regular group. Others bring several groups together, while a smaller set of participants may need a closed meeting. Samli supports all three, so you can organise meetings around the occasion, rather than the other way round.

Group meetings

A regular networking or specialist group has its own meeting schedule. Bring its meetings, invitations and replies together in Samli, giving members and the organiser a shared place to check the details.

Joint meetings across groups

Bringing several groups together for a shared talk or networking day? Organise a joint meeting across groups. It creates an occasion for members to meet beyond their usual circle without turning the regular groups into one large group.

Closed meetings

When a meeting is intended for a defined set of participants, it should not be an open invitation to the wider network. Use a closed meeting for a smaller planning session, for example, and keep the focus on the people involved.

Give the next conversation an owner

Following up with a guest after the meeting? In Samli CRM, keep the contact, a note and an assigned task together. The next step no longer has to live in one person’s memory.

Questions about meetings in Samli

Yes. You can add external guests, and members from other groups can visit a meeting when you allow it. For external guests, you can see who invited them. This helps you prepare their welcome and agree who will follow up afterwards. Whether members can invite guests themselves depends on your settings.

For regular meetings, you can schedule invitations and reminders and review the planned messages alongside the meeting. The workflow can include reminders for people who have not replied and for those who have accepted. This brings the practical preparation together instead of leaving you to track every message manually. Ticketed events have a separate workflow and should not be assumed to offer the same automatic reminders.

You can see who is invited, who has accepted or declined, and which members have yet to reply. Guests are also included in the overview. This makes it easier to prepare the meeting and decide who to contact before the response deadline. These replies show what members have said before the meeting; they do not, on their own, record who attended in person.

Yes. Samli supports closed meetings, meetings within an individual group and joint meetings involving several groups. Group meetings suit a group’s regular schedule, while joint meetings bring several groups together for a shared occasion. Closed meetings are useful when a meeting is intended for a defined set of participants. In a demo, we can use your group structure to show how these meetings are organised in practice.
