Data Controller
We are the data controller for the processing of the personal data we process about our customers and business partners. You can find our contact details below.
EXCITE
Absalonsvej 5, 7100 Vejle
CVR no.: 44621142
It is not a requirement that our company has an external DPO, but if you have questions about the processing of your personal data, you can contact us at kontakt@excite.dk.
Processing Activities
As data controller pursuant to the GDPR, we carry out the following processing activities.
Visits to our website
When you visit our website, we don’t save any cookies to save information locally on your device.
Communication with prospective customers
When you have questions about our site or would like to learn more about our services, you can contact us via:
- Contact form
- Phone
Through these channels, we will process your personal data in order to engage in a dialogue with you, for example to answer questions about our services. We only process the information you provide to us in connection with our communication.
We will typically process the following ordinary personal data: name, email address, phone number.
Our legal basis for processing this personal data is Article 6(1)(f) of the GDPR.
We will delete our communication with you once it becomes clear whether you wish to use our services or not.
Should a special circumstance arise that requires us to retain your personal data for a longer period, this may be the case.
Customers
We need to communicate with our customers to ensure that the service is delivered correctly. In this context, we may process information such as name, address, services, special agreements, payment information and similar.
The legal basis for processing this personal data is Article 6(1)(b) of the GDPR.
Once the service has been delivered and any outstanding matters have been resolved, we will promptly delete the personal data.
Newsletter
We have a newsletter that you can voluntarily sign up for — and you can always unsubscribe at any time.
The purpose of the newsletter is to send subscribers emails with new information from the company, which may include new content on our website and announcements about our services.
We will only send you emails if you have given your active consent to this. This requires you to provide your email address, to which we will then send an email so that you can confirm your subscription. In this way, we ensure that you have actually signed up for the newsletter yourself, i.e. that you have given active consent.
Our legal basis for processing your personal data (i.e. your email address) in connection with the newsletter is Article 6(1)(a) of the GDPR.
We will process your personal data for as long as you remain subscribed to the newsletter. Upon unsubscribing, we will also stop sending it to you. If we have not sent you a newsletter for 1 year, your consent will lapse due to our inactivity.
Upon unsubscribing from the newsletter, we will retain your now former consent for 2 years after it was last used due to limitation requirements pursuant to section 11.3 of the Danish Consumer Ombudsman’s spam guidelines.
Bookkeeping
We are required to retain all accounting records pursuant to the Danish Bookkeeping Act. This means we retain invoices and similar documents for accounting purposes. These may contain ordinary personal data such as name, address, and service description.
Our legal basis for processing personal data for bookkeeping purposes is Article 6(1)(c) of the GDPR.
We retain this information for a minimum of 5 years after the end of the current financial year.
Job applications
We gladly receive job applications with a view to assessing whether they match a recruitment need in our company.
If you send us your job application, our legal basis for processing your personal data is Article 6(1)(f) of the GDPR.
If you have sent an unsolicited application, we will immediately assess whether your application is relevant and subsequently delete your information if there is no match.
If you have applied for an advertised position, we will discard your application if you are not hired, immediately after the right candidate has been found.
If you are included in a recruitment process and/or hired for the position, we will provide you with separate information on how we process your personal data in that connection.
Data Processors
Few can manage everything on their own, and the same applies to us. We therefore work with partners and use suppliers, some of whom may act as data processors.
External suppliers may for example provide systems for organising our work, services, consultancy, IT hosting or marketing.
It is our responsibility to ensure that your personal data is processed properly. We therefore set high standards for our partners, and they must guarantee that your personal data is protected.
We therefore enter into agreements with companies (data processors) that handle personal data on our behalf in order to enhance the security of your personal data.
Disclosure of Personal Data
We do not disclose your personal data to third parties.
Profiling and Automated Decisions
We do not carry out profiling or automated decision-making.
Third Country Transfers
As a general rule, we use data processors in the EU/EEA, or processors that store data in the EU/EEA.
In some cases this is not possible, and data processors outside the EU/EEA may be used, provided they can offer your personal data adequate protection.
Processing Security
We keep the processing of personal data secure by implementing appropriate technical and organisational measures.
We have carried out risk assessments of our processing of personal data and have subsequently implemented appropriate technical and organisational measures to enhance processing security.
One of our most important measures is keeping our employees up to date on GDPR through ongoing awareness training, GDPR courses, and reviews of our GDPR procedures with staff.
Rights of Data Subjects
Under the GDPR, you have a number of rights in relation to our processing of information about you.
If you wish to exercise your rights, please contact us so that we can assist you.
Right of access
You have the right to access the information we process about you, as well as a range of additional information.
Right to rectification
You have the right to have inaccurate personal data about yourself corrected.
Right to erasure
In certain cases, you have the right to have information about you erased before the time of our normal general deletion.
Right to restriction of processing
In certain cases, you have the right to have the processing of your personal data restricted. If you have the right to have processing restricted, we may in future only process the data — except for storage — with your consent, or for the purpose of establishing, exercising or defending legal claims, or in order to protect a person or important public interests.
Right to object
In certain cases, you have the right to object to our otherwise lawful processing of your personal data. You may also object to the processing of your data for direct marketing purposes.
Right to data portability
In certain cases, you have the right to receive your personal data in a structured, commonly used and machine-readable format and to have that personal data transferred from one data controller to another without hindrance.
You can read more about your rights in the Danish Data Protection Agency’s guidance on the rights of data subjects, which you can find at www.datatilsynet.dk.
Withdrawal of consent
Where our processing of your personal data is based on your consent, you have the right to withdraw that consent at any time.
Complaint to the Danish Data Protection Agency
You have the right to lodge a complaint with the Danish Data Protection Agency (Datatilsynet) if you are dissatisfied with the way in which we process your personal data. You can find the Agency’s contact details at www.datatilsynet.dk.
We would generally encourage you to read more about GDPR so that you are up to date on the rules.
